Shipping Cost

Shipping is free. All prices are listed in USD.

Most PrivacyPod products ship via freight and arrive securely crated. If a destination, access constraints, or special services (inside placement, timed delivery, remote access, etc.) require additional carrier charges, we’ll confirm those details with you in writing before scheduling.

Lead Times: Quick-Ship vs Made-to-Order

Lead times vary by product line, finish selections, and add-ons. The timelines below are typical estimates. Your order confirmation will include the best available timeline for your exact configuration.

Quick-Ship Standard Office Pods (Typical Delivery: 1–2 Weeks)

Our Quick-Ship program covers our standard office pods in a ready-to-ship configuration. These are in stock and typically deliver in ~1–2 weeks.

Standard Quick-Ship configuration: White exterior, Ash felt interior, and Occupancy Lights. These pods (and standard furniture configurations) are stocked for rapid delivery. Different exterior or interior colors, or certain add-ons, may move the order into Made-to-Order.

Note: Selecting non-standard finishes (different exterior/interior colors), privacy glass, ethernet, locking handles, or other add-ons may move your order into Made-to-Order lead times.

Quick-Ship Lactation Pods (Select Configurations)

Lactation pods are also available in Quick-Ship with select furniture configurations. If you need the fastest timeline, choose a Quick-Ship furniture package (when available) or contact us to confirm availability.

Arc Series Pods (Quick-Ship Color: Haze | Typical Lead Time: 8–10 Weeks)

We offer Quick-Ship availability for our Arc Series pods in the Haze configuration. Other Arc colors are Made-to-Order.

Arc Series lead times: Typically ~8–10 weeks. All Arc Series pods ship with furniture.

Made-to-Order Products (Typical Lead Time: 8–10 Weeks)

The following product lines are part of our Made-to-Order program. Lead times vary by finish selection, production scheduling, and project requirements.

If your order includes custom finishes, special add-ons, or project coordination (multi-unit installs, timed delivery windows, restricted access sites, etc.), we’ll confirm an accurate schedule before shipment.

Freight Delivery, Scheduling & Access

Most PrivacyPod products ship via freight and arrive securely crated. Each model typically ships in one custom wooden crate designed to protect components in transit.

Curbside Delivery (Standard)

Freight delivery is typically curbside, meaning the carrier delivers to the nearest safe unloading area at the address (dock, driveway, or curb). Carriers generally do not move crates indoors.

Delivery Appointments

For freight shipments, the carrier typically calls 24–48 hours before arrival to schedule a delivery appointment. Please ensure someone is available to receive and inspect the shipment.

Residential Delivery

Residential delivery is available. Because crates are heavy, deliveries typically require lift-gate service to lower the crate to a driveway or garage area. Please notify us in advance of any access constraints (narrow roads, steep driveways, low branches, limited turning radius, etc.).

Missed Delivery Appointments

If a delivery appointment is missed, the carrier may return the crate to the local terminal. Redelivery and terminal storage fees can apply. If you think you may miss your appointment, contact us immediately so we can help reschedule.

White-Glove Delivery & Installation (Optional)

White-glove delivery and professional installation may be available depending on your location and order size. If you’d like a turnkey installation quote, contact us and include your ship-to ZIP code and the pod model(s).

Order Tracking

When your order ships, you’ll receive confirmation details (including freight documentation when applicable) and a tracking link when available. For freight shipments, the carrier typically calls ahead to schedule delivery.

Change of Address

If you need to change the delivery address, contact us within 24 hours of placing your order at info@privacypod.ai. Once a shipment is in transit, we may be unable to change the destination.

Cancellations

If you need to cancel, contact us as soon as possible. Cancellation eligibility and fees depend on whether production has begun and whether freight has been scheduled or dispatched.

Damage in Transit & Freight Claims

Please inspect the crate and packaging on delivery before signing. If you notice damage, note it on the delivery receipt/BOL, take clear photos, and email details to info@privacypod.ai as soon as possible.

  • Note visible damage on the delivery receipt/BOL before signing.
  • Take photos of the crate, packaging, and any visible issues.
  • If severe damage is visible, request the driver mark it as damaged (or reject delivery if appropriate).

If a shipment is delivered without you present, contact us immediately so we can guide next steps and preserve eligibility for carrier claims.

International Shipping

PrivacyPod ships worldwide. International shipments may travel by ocean or air freight depending on destination, timelines, and cost targets. We can coordinate with your preferred freight forwarder (or ours) and may be able to quote DDP service (duties/taxes prepaid) where available.

For an international landed-cost estimate, contact us with your destination city, country, and desired model(s).

Certificate of Insurance (COI)

Many commercial buildings require a Certificate of Insurance prior to delivery or installation. If your site needs a COI, email your requirements (legal entity name, address, coverage limits, and any additional insured parties) to info@privacypod.ai after ordering so we can keep your delivery schedule on track.
