PrivacyPod Return & Refund Policy (60-Day Returns)

This Return & Refund Policy explains how returns, refunds, exchanges, and freight-damage claims work for PrivacyPod products, including soundproof office pods, phone booths, meeting pods, lactation pods, ADA-compliant pods, and acoustic lounge seating.
60-Day Return Window
PrivacyPod offers a 60-day return window for all products and all configurations. Return requests must be submitted within 60 calendar days of delivery.
Returns requested after 60 days will not be accepted.
Return Eligibility Requirements
To qualify for a return, the product must be received by PrivacyPod in the condition below. This is especially important for freight-shipped products like soundproof office pods and meeting pods.
Condition requirements
- Unused (no wear, no signs of operation, no alterations)
- Unassembled and uninstalled (or uninstalled where applicable)
- In original factory crate/packaging with all protective materials
- Complete with all hardware, accessories, manuals, and components
- Accompanied by the original invoice / order confirmation
Return inspection
All returns are inspected upon arrival. If a returned item is incomplete, damaged, missing original packaging, or shows signs of use/assembly, the return may be refused or may receive a reduced refund based on condition.
How to Start a Return (Return Authorization)
All returns require a Return Authorization (RA) number before shipping anything back.
- Email info@privacypod.ai or call 1-877-PRIV-POD (877-774-8763) to request an RA number.
- Include your order number, delivery address, product name/model, and the reason for return.
- Follow the packing and return-freight instructions we provide. (Pods must be shipped in the original crate.)
- Clearly label the RA number on requested paperwork and/or shipment documentation as instructed.
Products returned without an RA number or in non-original packaging may be refused and returned to sender.
Damaged, Missing, or Incorrect Items
Please inspect your shipment immediately upon delivery—especially freight crates. If you notice shipping damage, missing parts, shortages, or incorrect items, contact us within 48 hours of delivery.
How to report an issue
- Email info@privacypod.ai with your order number and a description of the issue.
- Attach clear photos of the crate/packaging and the affected item(s).
- If damage is visible at delivery, note it on the delivery receipt before signing whenever possible.
If the issue is confirmed, PrivacyPod will repair, replace, or arrange collection of the affected item(s) at our cost, as appropriate.
Exchanges
We exchange items only when they arrive defective, damaged, or incorrect. All other situations follow the standard return process (including eligibility requirements and fees).
Restocking Fees, Freight & Non-Refundable Charges
Restocking fee
Approved returns incur a 50% restocking fee. Example: A $10,000 product returned in eligible condition is eligible for a maximum refund of $5,000 (minus any non-refundable charges described below).
Return shipping (freight) costs
Outbound freight and all return-shipping costs are non-refundable and are the responsibility of the customer. For freight items, we can help coordinate return freight; return freight cost and any accessorial fees (liftgate, limited access, appointment delivery, storage, etc.) remain the customer’s responsibility.
Non-refundable charges
- Return freight/shipping charges
- Accessorial carrier charges (e.g., liftgate, inside delivery, redelivery, storage, limited-access)
- Any damage due to improper repacking or shipping outside of the original crate/packaging
Refund Timing
Once the returned product passes inspection, a credit (net of fees) is issued to the original payment method within 10 business days.
If 15 business days have passed since your approval email and the credit has not appeared, first contact your card issuer and bank, then email info@privacypod.ai for assistance.
Order Cancellations
If you need to cancel, contact us as soon as possible with your order/PO number.
Cancellation timing matters
- Before production begins: cancellations are fully refundable.
- After fabrication begins or freight is scheduled: we may still cancel, but a fee (up to 50% of the order total) may apply to cover committed materials, labor, and logistics.
- After shipment departs: the request is handled as a return under this policy.
Shipping & Delivery Delays
Estimated lead times are projections, not guarantees. Orders delayed by carriers, customs, weather, or other forces beyond our control are not eligible for cancellation or refund.
Limit of Liability
By placing an order you acknowledge that, to the fullest extent permitted by law, PrivacyPod’s refund liability will not exceed 50% of the purchase price of the product in question.
Nothing in this policy limits rights you may have under applicable consumer-protection laws.
